PANDA Publication Rules

PANDA Publication Instructions

For Authors

  1. Create a new document in the PANDA Publishing Database. Therefore

    1. Login with your GSI Web Login credentials (if needed click 'Login' in top menu).
    2. Fill in form and upload the (from your point of view final version of the) document.
    3. Note: For an internal document, choose one of categories Analysis Note (AN) or Technical Note (TN). In this case the publication procedure can be just a formal issue.
    4. In case supporting documents are needed not being published so far (e.g. an analysis note for a paper draft), create an individual document for each of them as described above.

    An automatic notification e-mail is then sent to the publication committee mailing list and the given reference author.

  2. Post an announcement in the Publications Review forum (should happen automatically when you press save) with the title of your document as subject, a link to the DB entry and perhaps suggestions for possible (non PubCom member) reviewers in the text of the posting.
  3. You are done for the time being, the review process should be initialized automatically by the publication committee.
  4. In case of comments and suggestions in the forum from either the review committee or later in the collaboration wide review, you should modify the document(s) accordingly and update it in the document DB for final check.

For Publication Committee

  1. Once notified about a new document, identify a responsible review committee, where one member should be appointed within the publication committee. The review process should be finished within two weeks.
  2. Note: In case of an internal document (name begins with AN or TN), you might (after perhaps a quick formal check) proceed directly to step 7. and just publish the document without review.
  3. The review committee (RC) should consist of at least three people: one from the publication committee and ideally two experts of the topic being reviewed. The RC appoints one member to be the Review Committee Chair (RCC).
  4. Inform the author(s) about the members of the RC.
  5. Start reviewing the document and corresponding support documents and post comments and suggestions in the forum as replies to the announcement.
  6. Once the review from the RC is finished (roughly one week after beginning of the review process), the document should be announced by the RCC for collaboration wide review after being updated by the author(s).
  7. Once the collaboration wide review is finished (after another week), the once again updated document should undergo a final check. If successful, the document should be published by the RCC by clicking the Publish button in the document DB.
